RA Nov-24: Residents Association Meeting

- This will be a normal residents association meeting, with the AGM moved to 23rd Jan 2025 in order to enable leaflet distribution with the Christmas Broadsheet, in order to attract nominations for all positions in the Residents Association.

- Approval of Minutes of Previous Meeting
- Approved. Circulated previously.
- Resignations and New Committee
- Several resignations due to personal reasons. Chair outlined what is required. All nominations need to be with the Secretary by 20th January 2025. The roles are Chair, Vice Chair, Secretary, Treasurer, plus up to 6 committee members.
- Welcome from the Chair and review of the first year
- Busy year, lots of progress has been made. Unified in common purpose and getting the conversations going with lots of stakeholders including the development companies /builders, Broadclyst Parish Council, East Devon District Council.
- Successes include the provision of the Little Library and Noticeboard (by BPC) and the launch by us with the Story Telling event; the Advent Windows trail; the Fun Day, Dog Show, BioBlitz.
- Our guest speakers at TRA meetings have included Angie (BPC), Jake (BPC), PCSO Sims, Paul Osbourne (EDDC).
- Tesco – due to open by Christmas. The café space has been allocated to a local café business although name isn’t currently known.
- Update from the Treasurer
- £500 left. Donation has been offered for costs of leaflet printing.
- Action: MC to contact Alwyn Joy to arrange for printing and delivery of leaflets to accompany delivery of Broadsheets asap.
- MC confirmed that tithebarn.uk/join and the QR code work and are set up already.
- Fran outlined the costs so far. Insurance costs, public liability, Leaflet printing. Website. BPC happy to permit spending after the initial window of allocation.
- Spent £180. Money still allocated for feather banners. But still need to be ordered. This will happen after new committee appointed.
- MC confirmed that membership data remains compliant with data stored only on MS365 account and is password protected.
- Plans for the Sports Pitches and Pavilions – Cllr P Fernley
- Has provision for a bar, four changing rooms, big indoor space. Building is to be located next to MUGA and sports pitches. The planning application is in and there have already been lots of comments from statutory bodies, but also some concerns raised such as a lack of lighting program, CCTV.
- Action: ALL – Paula urged everyone to look and share opinions on the official EDDC planning site.
- Broadclyst Parish Council updates
- The Community Consultation report is now out. Full report available from BPC website and summarised at https://tithebarn.uk/parish-residents-survey-results/
- The YMCA consultation report should be out by now. Action: MC to chase BPC.
- No updates from the parish council regarding the community space (above Tesco).
- Update on Play Park – Cllr P Fernley
- Ashworth Place play park. BPC are getting quotes for play park design.
- Update from EDDC Infrastructure Group – Cllr P Fernley
- Barratt have merged with Redrow. Comms with Barratt is difficult. No information on who to contract. The Country park estate remains with work to do. Enforcement notices will be served in new year if actions are still not corrected.
- Action: MC to request info on noticeboard at Community Centre location from BPC Chair.
- Advent Windows

- Any Other Business
- Questions about gardens, front and general maintenance.
- John Rowe – Church of England, Parish of Pinhoe is interested in having a coffee van as part of their outreach work.
- Action: MC to put in touch with Louis Burgess, tuk-tuk coffee provider at Fun Day.
- Town square parking. Meant to have hot food outlets permitted. Action: MC to enquire as to status and process.
- Flippy Chippy currently has permissions to trade. Suggestion to contact this existing vendor for advice.
- Paula Fernley recommended contacting EDDC for advice.
- YMCA: event posters are up. 19th December, 3:30pm to 5pm, by the park in the Redhayes Green corridor.
- Action: MC to share feedback on poster to YMCA to BPC and YMCA.
