Previous Meeting

Consultations: Marc to set up webpage of ongoing consultations. Action: MARC COTON

Events subgroup:
Event Planning chat now exists. Comprises: Committee (Fran, Korneel, Paula, Debra, Reji); plus: Charlotte Staddon, Denise & John Rowe, Emma Boatwright, Hannah Hall, Mansoor Ahmad, Nicola & Graham Hall, Rhys Davidson, Stacey Heath
It was agreed that the Events Planning group now has the authority to action this agenda item and create opportunities for the local community to come together:
- 8th May, VE Day 80th celebrations.
- Fran was seeking permission from Eagle One to use the Town Square. Action: FRAN
- Event Planning to form plan and action. Action: Event Planning group
- 9th or 10th August, Parish Council’s Tithebarn Fun Day
- Event Planning to form plan and action. Action: Event Planning group
- Board Games event – approved for actioning.
- Nikki Hall says staff will stay on for café. Marc to add Nikki to Events Planning group.
- Date and details to be decided.
- Easter Bingo – not viable anymore with short time frame.
- Market food on Friday nights. Willingness for this. Action: Event Planning group
- Sunday morning – free coffee and cake at the ISCA restaurant on Sundays. Could use as a TRA coffee meet up. Action: DEBRA to contact and find out future dates.

Indoor Space:
- there is currently no community space for large groups to meet within Tithebarn. Closest options are the Science Park and the Black Horse. Do we want to push for a temporary space (ie. Marquee or similar)? The meeting agreed that finding an indoor space is a priority.
- Whatapp Group:
- At the TRA meeting, it was agreed that a group to pursue the creation of an Indoor Space was a priority. To co-ordinate this, the chat has been set up at https://chat.whatsapp.com/KNisgae2VWAIh3waPXUH35

The Adoption Process:
- Following the jan 2025 meeting, the request for formal plan of action from all councils was postponed until May 2025 meeting. This will also have seen the East Devon action plan announcement and (hopefully) the report back from the Parish Council regarding the Management Company adoption.
- Action: Paula Fernley and Korneel Verhaeghe to contact BPC for udpate and potential invite to next TRA meeting.
- Developers are now making efforts to hand over to the management company. How do we want to be involved in this and what can we do between now and handover date?
- Action: The Adoption Process, May 2025. CRAIG to contact Permssion and get updates.

Sports and Fitness:
- It was agreed that focus should be on community activities that bring residents together in a positive way.
- Basketball Court: Let’s ask about opening the basketball court first and separately to the play area (which is expected to take several more months). Action: PAULA
- Ideas for clubs include: football, basketball, walking groups, couch to 5K. Craig and Korneel willing to get this started. Youth Provision:
Update: The YMCA are still awaiting for a decision about whether the Science Park will permit the hosting of Youth Club on their premises. Meetings are ongoing. Insurance is being discussed. Marc met with Sam Thomas (YMCA) in Jan and still in touch but no decision yet.
Update: 9th and 29th April. YMCA meet up events outside Tesco.

- External Events – to represent the interests of our whole community in our engagement with external stakeholders. Carried forward.

EON and other Suppliers
- Concerns about the lack of transparency in price increases both internally within Tithebarn and in comparison to Cranbrook. Adam Walmseley (of Monkerton) proposed that the TRA is a signature to his drafted letter. Conversations centred around supporting the concerns raised in the letter and the potential actions that might result afterwards should it not be successful. Also we were mindful of the impact on our relationship with EON, and also the Developers that work with them, particularly whilst we are still negotiating the management company handover.
- It was decided not to add TRA as a signatory but support the actions through comms via our channels and networks.
- Other concerns were raised about other companies that residents have to deal with including:
- Last Mile (electricity company when installing Solar)
- FibreNest
- Anyone is welcome to submit a summary of companies/Processes they have had to engage with for publication on our website to assist others. Action: ALL to contact Marc Coton with text.
